PRIVACY POLICY

 

HOW WE USE YOUR DATA

PIE Talent receive your personal data when you apply directly for an advertised role via our website; when you upload a CV via our PIE website portal; when you apply directly to be a candidate for whom we can facilitate a job search or via a third party when you respond to a job post placed by PIE Talent on a job board on behalf of a third party client.

This statement explains how we process personal data received into our organisation. When you register with PIE Talent you MUST consent to us collecting and storing your personal information. You will not be able to submit your enquiry or details to PIE Talent without consenting to us storing your personal data. This may include but is not restricted to your name; contact details; address; employment history; mobility and education, links to your professional profiles available in the public domain e.g. Linkedin, Twitter.

During telephone conversations and face to face interviews we may collect personal information with regard to employment preferences, strengths and work experience which may be stored on your personal record. This information facilitates our ability to support your job search and to provide a basis for recommendation when short-listing candidates for roles with our clients. By explicitly providing consent when you register with PIE Talent you are providing permission for our storage of this information. PIE Talent will never share personal information or a Curriculum Vitae with a third party without your explicit consent.

Due to the nature of recruitment, a significant number of candidates reconnect with our organisation periodically as we support their career growth over a number of years. It is not uncommon for this to occur years after we have placed them in a role. We will only retain personal data for as long as we need it for our legitimate business interests which may be a period of a maximum of 7 years if you have been through a recruitment process with us. If we have not processed your data in connection with a recruitment process with a client for a period of 24 months after originally obtaining your consent to do so, we will delete it in accordance with our data retention policy.

If you do not consent to PIE Talent storing your personal data or setting up a personal registration for you, please do not submit your Curriculum Vitae for any roles advertised on our website or send us your CV speculatively. We are unable to process your application without receipt of consent to process and store your personal information.

 

JOB ALERTS & EMAIL UPDATES

  1. We may on occasion contact candidates stored in our CRM who are not actively looking for a new role. When you apply for a Job using our website you will be asked to tick a box indicating that you consent to us storing the personal data you have provided. By providing consent to our storage of your personal data you are also providing consent to us contacting you if we receive details of a role which specifically matches the criteria you have outlined during the sign up process. Alternatively where you have provided us with your information via another source, you will equally have been asked for your consent for PIE to process the personal data you have provided to us.
  2. We may on occasion contact candidates stored in our CRM via email marketing software which is sent via Campaign Monitor. There will always be an option available to unsubscribe and you can either click on this or contact us at info@pie-recruitment.com to request that you are unsubscribed from further mailings.
  3. Following the completion of a recruitment process of two or more interviews we may contact you by email with a short survey powered by Getfeedback.com to gain insight and feedback about our performance as a business. We may use this feedback on our website or within our marketing information but will not reveal any of your personal information without your express consent to do so.

 

HOW WE MANAGE YOUR DATA

We will never share our candidates’ personal details or Curriculum Vitae with a third party without the candidate’s explicit consent, and then we will only share the personal information with that one company or individual.

Some or all of your data may be stored outside of the European Economic Area (“the EEA”) (The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein). You are deemed to accept and agree to this by using Our Site and submitting information to Us. If We do store data outside the EEA, We will take all reasonable steps to ensure that your data is treated as safely and securely as it would be within the UK and under the Data Protection Act 1998.

We may sometimes use third party data processors that are located outside of the European Economic Area (“the EEA”) (The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein). Where We transfer any personal data outside the EEA, We will take all reasonable steps to ensure that your data is treated as safely and securely as it would be within the UK and under the GDPR.

 

YOUR RIGHT TO AMEND YOUR DATA

It is likely that over time your employment history will require updating as you transition to new roles or receive promotion. PIE Talent undertake to update your records within two weeks of receiving an updated Curriculum Vitae.

Under the GDPR you have the right to ask for access to your personal information. Once PIE Talent have verified your identity, we will provide the information you requested within 30 days.

In the unlikely event you find personal data stored about you by PIE Talent is inaccurate, you must advise us immediately. We will amend your personal registration within two weeks.

 

YOUR RIGHT TO BE FORGOTTEN

Upon receipt of a request to delete an individual’s personal registration, PIE Talent will ensure that your personal record is deleted within 30 days.

Where PIE Talent have placed a candidate in a role, they are required to retain evidence of that placing so that contractual obligations can be met by the client. PIE Talent will however take steps to ensure only minimal personal data is retained and we will not make further contact with the candidate. Where you might have interviewed with one of our clients, we may be required to maintain records of those interviews to enable us to comply with reporting information they have requested. In such cases we will minimise the data we hold about you and will not contact you further.

Where PIE Talent have previously received permission to share personal information with a third party, for example for interview for a role, we undertake to advise that third party of your wish to be forgotten if communication has been in the last 12 months.

In the event that you wish to be erased from our CRM you should contact info@pie-recruitment.com. Please make it clear that you wish to be erased, rather than simply marked as no longer job seeking.

 

NOTIFICATION OF BREACHES

Whilst PIE Talent do not store, or at any time request, financial information from candidates, we do store personal information contained within your Curriculum Vitae. We are aware of our responsibility as a recruiter to protect your information and to only share details with third parties upon receipt of your explicit consent. All of our systems are protected via a number of secure methods which include complex passwords, mobile device encryption, two-factor authentication and the use of secure servers and only PIE Talent staff and consultants working for PIE Talent have access to the personal information stored in your registration. Access to our building is restricted via a key fob system plus additional security overnight and at weekends. Desktops are all password protected.

In the unlikely event that our computer systems are compromised and there is a potential loss of confidentiality, we will report this breach to you.

In the unlikely event that personal data is taken or exposed from PIE Talents records without our consent, we will provide reports surrounding that exposure within 72 hours of being notified of such an event and take any action necessary to restore the security of your personal data.

 

DATA ACCESS REQUESTS

If PIE Talent receives a request for access to personal information we will need to verify your identity before releasing your personal data to you. We will not release information to any third party. Please note that you may be required to produce certain documentation such as a passport in order to verify your identity but that information will not be stored or processed and will be deleted as soon as the request has been completed.

CHANGES TO OUR PRIVACY POLICY
